We are seeking an enthusiastic and organized Client Care Coordinator to be the welcoming face and voice of our clinic. This role is essential in creating a positive first impression, ensuring smooth client flow, and providing exceptional administrative support to our veterinary team.

Responsibilities:

  • Greet clients and their pets warmly, managing check-ins and check-outs efficiently.
  • Answer multi-line phone system, schedule appointments, and manage client inquiries.
  • Process payments, maintain accurate financial records, and manage daily deposits.
  • Educate clients on preventative care, basic pet health, and available services.
  • Maintain client records, ensure accuracy, and handle confidential information with discretion.
  • Manage prescription refill requests and product sales.
  • Maintain a clean and organized reception area.
  • Assist with general office tasks and support veterinary staff as needed.
  • Handle difficult client situations with empathy and professionalism.

Qualifications:

  • High school diploma or equivalent; some college preferred.
  • Minimum of 1 year of experience in a customer service role, preferably in a veterinary, medical, or dental office setting.
  • Proficient in basic computer skills and comfortable learning new software (e.g., veterinary practice management software).
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize in a busy environment.
  • Genuine love for animals and a compassionate demeanor.
